Have you ever thought about writing an ebook or guest authoring on other websites? I have a blog based upon on the same ideas you discuss and would really like to have you share some stories/information. I know my viewers would appreciate your work. If you're even remotely interested, feel free to send me an email.

Matt,

Thank you for you post. I followed your instructions and have my inbox at zero for the first time...maybe ever! I just stumbled upon your sight and, man, has it been helpful across the board. I'm eager to keep learning from you. God Bless

[...] There are two important parts to the question I started the last paragraph with. First, do you have inboxes? You may be missing some inboxes, for example one for your desk, or something always at hand to record ideas. Second, are they set up? You have other inboxes, like email, but it may not set up for you to process through it efficiently. [...]

I disagree. I keep all e-mails, sometimes it is years later that I need to refer to stuff I thought I would never need again. Use Outlook and Archive everything away after a short period, that automatically clears your inbox, no filing needed - far too much hassle. Why bother filing stuff in different folders? On Outlook (and Gmail) you can simply use the search function. I agree with the two minute rule. For further processing I use Outlook categories. Files that are marked to-do show up in your task list (Outlook Tasks) - so even though it is the e-mail it will be a part of your regular to-do list. For projects simply add a category with the project name. That sounds like a whole lot less work than what was proposed in the above article. Make use of your productivity tools, man.

nothing more frustrating than checking your email, only processing half of the messages, and then feeling like you have a bunch of unfinished business hanging over you the rest of the day. Process all the new items that come.

Hi Matt...I saw a link to this post on Xconomy and thought it was really useful. You may have heard of tools that help you follow up on emails but none of them help with filing. If you use Outlook you should definitely give Boomerang a try.

It gives you the option to action an email at a later time by temporarily sending it to another folder in Outlook. This tool will also be available for Gmail users soon.

Great post and I immediately took some action according to instructions. Another aspect I would like to add relates goal setting and action planning. It is good to go through certain coaching questions to help you determining which task is really important and which not. More on this at http://casesolving.com
